Confidentiality Policy

1. General provisions
Rivo respects and protects the confidential information that companies, employers, partners, and other organizations share with us while using the platform.
This policy explains what Rivo considers confidential, how we use and protect such information, and when it may be disclosed. It forms an integral part of Rivo’s Terms of Service.
This policy does not govern the processing of personal data belonging to natural persons. The collection, processing, storage, and protection of personal data relating to candidates, users, employer representatives, and other individuals are governed by the separate Personal Data Protection Policy.
2. Who this policy applies to
This policy applies to every company, employer, partner, agency, and other legal entity that:
- uses the Rivo platform;
- publishes vacancies;
- searches for candidates;
- uses AI features; or
- provides information in order to receive platform services.
3. What constitutes confidential information
Confidential information means any non-public information that a company or other organization shares with Rivo or places on the platform. It may include:
- vacancies and their full descriptions, including unpublished or planned roles;
- candidate-selection criteria, recruitment strategy, and assessment methods;
- internal processes, organizational structure, and business plans;
- salary information, benefits, and compensation policies;
- financial and commercial information;
- information about partners and clients;
- internal documents, reports, analytics, projects, and technical documentation;
- descriptions of software or systems; and
- any other information that is confidential by nature or designated confidential by the company.
4. How Rivo uses confidential information
Rivo uses confidential information only as necessary to operate the platform and provide the agreed services. This may include publishing and managing vacancies, matching candidates to roles, operating AI features, providing technical support, protecting system security, improving the platform, and meeting legal obligations.
Rivo will not use a company’s confidential information for its own unrelated commercial interests, to gain a competitive advantage, or for any purpose unrelated to the agreed service.
Anonymous Umami analytics, Google’s cookieless measurement, and the TOP.GE visit counter use data minimization on public, safe pages. TOP.GE turns off after rejection; Meta Pixel, Google’s full mode, and account-linked analytics activate only after consent. We do not send these services company documents, CV content, contact details, or internal application IDs.
5. Use of artificial intelligence (AI)
Rivo uses AI features to simplify recruitment and improve matching between candidates and vacancies.
When a company chooses an AI-powered feature, information it provides may be processed only to deliver that selected feature.
Using AI does not make company information public and does not reduce Rivo’s obligation to protect confidential information.
6. How we protect information
Rivo applies reasonable technical and organizational safeguards to confidential information, including:
- restricting access to authorized people;
- using authentication and access-control systems;
- encrypting data where technically feasible;
- continuously monitoring systems; and
- performing regular security updates and reviews.
Only employees, contractors, and service providers who need company information to perform their duties may access it, and they are themselves bound by confidentiality obligations.
7. Disclosure of information
Rivo does not sell, rent, or distribute companies’ confidential information. Information may be disclosed only:
- with the company’s prior consent;
- to service providers necessary to operate the platform and bound to protect confidentiality;
- where required by law; or
- in response to a lawful request from a court or authorized public body.
8. Information that is not confidential
Confidential information does not include information that is publicly available, was made public by the company itself, must be disclosed by law, or was obtained independently and lawfully by Rivo from a third party.
9. Duration of confidentiality
Rivo’s duty to protect confidential information continues after use of the platform ends.
Company information remains protected until it ceases to be confidential or disclosure becomes mandatory by law.
10. Intellectual property
Information, vacancies, documents, brands, logos, text, projects, and other materials supplied by a company remain the property of that company.
This policy gives Rivo no right to use those materials for any purpose other than providing the service for which the company uses the platform.
11. Changes to this policy
Rivo may update this policy from time to time to reflect applicable law, technological developments, or changes in how the platform operates.
The updated version will be published on the platform and will take effect when published unless it states otherwise.
