Employer guide

Everything you need for better recruitment: manage vacancies, find great candidates, and simplify every stage of your hiring process with Rivo.

1. Key terms

Before you start using the platform, get familiar with a few important terms you will often see on Rivo:

Rivo

A modern, AI-powered recruitment platform. Our goal is to connect great organizations and talented people as quickly and effectively as possible.

Vacancy

A job opening your organization publishes when it is looking for a new team member.

Applicant

Someone who has already applied to one of your published vacancies by submitting a CV or following your application link.

Candidate

A potential hire you find in the Rivo Candidate Database before they apply to one of your vacancies.

AI search

Our intelligent search reads your vacancy, analyzes profiles in the Rivo Candidate Database, and highlights the people who best match your requirements, saving you time.

Kanban board

A built-in workspace for managing incoming applications. Drag and drop applicants between stages: New, Under review, Invited to interview, Offer made, or Rejected.

Credits

Rivo's internal currency for paid actions such as running an AI search, unlocking a candidate's contact details, or featuring a job.

2. Managing vacancies

How do I publish a new vacancy?

To add a new vacancy:

  1. Open the Vacancies page: /organization/jobs
  2. Select Add vacancy in the upper-right corner.
  3. Complete the form. The job title, location (or remote status), employment type, and application deadline are required.
  4. Choose how you want to receive applications. You have three options:
    • Rivo ATS: Receive and manage applicants' CVs directly on Rivo (recommended).
    • Email: Applicants send their CV directly to the email address you provide.
    • Link: Applicants are redirected to your website or an external application form, such as Google Forms.
  5. When the form is complete, select Publish. The vacancy is submitted for approval and appears on the platform as soon as it has been reviewed.

Note: You can also save the vacancy as a draft if some information is still missing or you are not ready to publish it yet.

How do I edit or delete a vacancy?

Each vacancy in the table has an Actions button.

  • Edit: When you change a vacancy, such as its salary or description, a new request is created for an administrator to review.
  • Close (archive): If you fill the role early, close the vacancy so it no longer appears in search results.
  • Delete: Permanently remove an active vacancy or a draft.

3. Managing applicants (Rivo ATS)

If you choose Rivo ATS as the application method, you can manage applicants directly on our platform through a Kanban board.

Where can I see incoming applications?

Use the menu in the upper-left corner to choose the vacancy whose applicants you want to review. The board has five columns. Applicants page: /organization/applicants

How do I change an applicant's status?

Changing a status is simple:

  • Drag and drop: Drag the applicant card into the appropriate column.
  • From the profile: Select the applicant card or eye icon to view the details. Use the status menu in the upper-right corner of the window.

What happens when I reject an applicant? The system asks you to confirm the decision. Once confirmed, a polite rejection email is sent to the applicant automatically, helping you maintain a positive employer reputation without extra manual work.

4. Rivo Candidate Database

Instead of publishing a vacancy, or alongside one, you can search for the right person directly in the Rivo Candidate Database. Candidates page: /organization/candidates

Standard search (filters)

The Standard search tab includes these filters:

  • Skills: for example: React, Python, Management
  • Location: for example: Tbilisi, Batumi
  • Education: bachelor's degree, master's degree
  • Experience level: entry-level, mid-level, experienced

The table initially shows short, anonymous profiles with each candidate's skills and experience. If someone looks promising, select Unlock to view their full CV, name, and contact details. Unlocking costs 5, 10, or 15 credits based on experience level.

AI search (recommended)

AI search saves time and effort by removing the need to review hundreds of CVs manually.

  1. Open the AI search tab.
  2. Choose one of your published vacancies from the list.
  3. Select AI search and wait a few seconds.

In simple terms: AI reads your vacancy, analyzes profiles in the Rivo Candidate Database, and shows the people who best match your requirements. Each candidate receives a 0–100% match score, together with a clear explanation of why they were selected.

One AI search costs 1 credit.

5. Managing your team and profile

How do I add team members (HR)?

You can invite colleagues to help manage recruitment.

  1. Open the Team section: /organization/team
  2. Select Add member.
  3. Enter your colleague's email address. They must also have a Rivo account.
  4. Assign the appropriate role, such as Recruiter.

The maximum number of team members depends on your subscription plan. If you reach the limit, you will need to upgrade your plan before inviting more people.

How do I update the organization profile?

You can upload or replace your organization's logo, add a description, and provide website or social-media links. Profile page: /organization/profile

The more complete your profile is, the more trustworthy your vacancies will look to candidates.

6. Billing and credits

Paid Rivo actions, such as AI search and unlocking contact details in the Rivo Candidate Database, use credits. You can top up your balance and review your spending history from the Billing page.

What uses credits?

  • Unlocking a candidate's contact details 5–15 credits, based on experience
  • AI search (for one vacancy) 1 credit
  • Featuring a job or publishing above your plan limit 50 credits

What is a subscription plan?

If you use the platform regularly, a subscription such as Starter or Growth is usually the best option.

You pay a fixed monthly fee and receive an included number of credits each month.

A subscription also increases your team-member limit, so you can distribute recruitment work among colleagues.

Note: Your subscription renews automatically each month. The payment is charged and a new allocation of credits is added to your balance.

How Do I Top Up My Balance?

If you use all your included credits, or do not have a subscription, you can top up your balance at any time.

  1. On the Billing page, select Top Up Balance.
  2. Choose the credit package you need. The price per credit decreases with larger packages.
  3. Pay by card. The credits appear in your balance immediately and are ready to use.
